Safeguarding Statement

We teach learners aged 16 and over. Some of our learners are aged 16 or 17 and are legally children. This statement explains how we work with young learners and what we expect from parents and guardians.
This statement forms part of our Terms and Conditions.
1. Parental consent
Where a learner is under 18, we require written consent from a parent or legal guardian before the first session. We cannot begin teaching without it.
The consent confirms that the parent or guardian:
- Is the parent or legal guardian of the learner
- Consents to the learner receiving one to one online tuition from Quick Talk Tutor Ltd
- Has read and agreed to our Terms and Conditions, Privacy Policy and this Safeguarding Statement on the learner's behalf
- Has provided accurate contact details for themselves and the learner
- Confirms the learner has permission to use the device and platform required
- Confirms whether they consent to sessions being recorded
- Has told us of any relevant needs, adjustments, or medical matters we should be aware of
- Has provided an emergency contact name and number
Consent may be given in writing or by signed form. We keep it on file for the period stated in our Privacy Policy.
2. How sessions run
All sessions are delivered online through Microsoft Teams, Zoom, or Tencent Meeting. The platform is agreed with the learner, or with the parent or guardian where the learner is under 18, before the first session.
A parent or guardian of a learner under 18 is welcome to be present or nearby during any session, and may ask to observe at any time without giving notice.
Sessions take place at scheduled times agreed in advance. We do not arrange sessions directly with a learner under 18 without the parent or guardian being informed.
3. Recording
Recording is strictly prohibited unless permission has been obtained in advance and in writing. This applies equally to us and to learners.
Where a learner asks for a session to be recorded, we may agree. For a learner under 18, that request and the consent must come from a parent or legal guardian.
Where a recording is made by agreement:
- It is stored securely
- It is not shared with anyone outside Quick Talk Tutor Ltd
- It is deleted after 3 months
Learners must not record, screenshot, or stream any part of a session without our written permission.
4. Communication
Written communication about a learner under 18 includes their parent or guardian.
We communicate only through the contact details and platform agreed at booking. We do not communicate with learners under 18 through personal social media accounts, personal messaging apps, or personal phone numbers.
5. Conduct
We treat all learners with respect and expect the same in return. We will end a session immediately if anyone behaves in a way that is abusive, threatening, or inappropriate.
6. Raising a concern
If you have a safeguarding concern about anything connected to our service, tell us immediately through the Contact page, selecting Safeguarding concern as your reason for contact. Concerns raised this way are treated as a priority.
Where we believe a child is at risk of harm, we will report it to the relevant local authority children’s services or to the police. We will normally tell the parent or guardian that we are doing so, unless doing so would place the child at greater risk.
If a child is in immediate danger, contact the police on 999 rather than us.
7. The Student Practice Area and under 18s
The Student Practice Area is not available to learners under 18. This is a deliberate restriction and it is not about ability.
The tool sends submitted writing to a third party for analysis, and on the plan currently in use that text may be used to train their systems. We are not willing to put a young person’s work through that, so the tool is closed to under 18s entirely.
Before entering the area, every learner must declare whether they are 18 or over. Declaring under 18 blocks access immediately and permanently for that account.
Nothing else changes. A learner aged 16 or 17 receives the same programme, and everything the tool does we do together in session instead: timed practice, marking against every criterion, and showing exactly what to change. In practice many younger learners get more from that anyway.
Parents and guardians can ask at any time whether their child has attempted to access the area, and we will tell them.
8. Adult learners
Most of our learners are adults. Nothing in this statement limits the service adult learners receive. It exists specifically to set out how we work with learners aged 16 and 17.
